The elements that caused parsing failures in testing across multiple ATS platforms: text in tables (ATS parsers frequently misread table cell content, splitting text incorrectly or losing it entirely — never use tables for contact information, skills, or work history); text boxes and callout boxes (formatted similarly to tables, frequently causing loss of enclosed content); headers and footers in Word documents (content in document headers and footers is frequently not parsed or is misattributed — put your name and contact information in the document body, not the header); and images and graphics including logos, photos, and icon-based skill representations (not parsed at all — the information simply does not exist to the ATS).

The elements frequently warned against that our testing found work with most modern ATS systems: simple two-column layouts (not tables — CSS column layouts in Word and PDF documents are now parsed correctly by most major ATS platforms that have updated their parsers in the past two years); moderate use of bold and italic formatting (parsed correctly); standard section headings like "Work Experience," "Education," "Skills" (all parsed correctly — ATS systems are trained on these); and PDF format (widely supported by modern ATS, though some older systems still prefer Word — when in doubt, submit both formats if the system allows).

The Keyword Matching Reality After LLM Integration

The most significant ATS change in the past two years: major platforms (Greenhouse, Workday, iCIMS, Lever) have integrated LLM-based semantic matching alongside keyword matching. This means that resumes no longer need to match exact keyword strings — semantic equivalents are recognized. "Machine learning" and "ML" are treated as equivalent; "customer success" and "client retention management" are recognized as related. The implication: stuffing resumes with exact keyword matches from job descriptions is less important than it was three years ago. The content you genuinely have matters; the exact phrasing matters less than it did.

What Recruiter ATS Filtering Actually Looks Like

The human-side reality that ATS optimization content rarely addresses: most ATS filtering for specific roles is done by recruiters selecting from a pool of candidates who have already passed basic matching — it is not a fully automated accept/reject decision for most roles above entry level. The recruiter reviewing ATS-filtered candidates takes 6–10 seconds on initial resume review. The elements that determine whether they read further: job title match to the role, company name recognition or relevance, and a clear career progression that makes sense for the role being filled. ATS optimization gets you into the pool; these three elements determine whether a human reads you seriously.

Bottom Line: Definite parsing failures: tables (never use for critical content), text boxes, Word document headers/footers, images and graphics. Common warnings that usually work fine with modern ATS: two-column CSS layouts, bold/italic, standard section headings, PDF format. LLM integration means semantic matching is now common — exact keyword stuffing matters less than accurate content representation. Human recruiter review (6–10 seconds) is determined by: job title match, company relevance, and logical career progression — ATS optimization gets you into the pool, these get you read.
